What You Can Customize

Employee ID Prefix

Each organization sets its own prefix (e.g., 'GIS', 'EMP', 'HR'). IDs auto-increment: GIS0001, GIS0002, etc.

Departments

Create unlimited departments. Assign employees and leave rules per department.

Manager Types

Assign functional manager (primary approver) and dotted-line manager (secondary). Both can be used in approval workflows.

Custom Week-Off

Set per-employee custom weekly off schedules. Enable week-off swap between employees.

Track status: ACTIVE, INACTIVE, ON_NOTICE, TERMINATED. Status affects payroll eligibility and system access.

Frequently Asked Questions

Common questions about Employee Management

Q:Can I change the employee ID format?

The prefix is set per organization (e.g., 'GIS'). The sequence auto-increments. You can change the prefix in organization settings, but existing IDs won't change. Use the Fix Employee IDs tool to re-sequence.

Q:What happens when an employee is terminated?

Their status changes to TERMINATED. They are excluded from payroll processing, their system access is revoked, but their data is retained for compliance.

Q:Can an employee have multiple managers?

Yes — a functional manager (primary) and a dotted-line manager (secondary). The functional manager is the default approver for leaves, travel, etc.
